Platform Update: November 2025

This month we focused on giving providers more control over their scheduling, better tools for managing memberships, and stronger compliance workflows. Here's what shipped.

Advanced Scheduling Rules

You can now define multiple availability and unavailability rules per staff member, giving you precise control over when and where each provider can be booked. Rules support complex patterns including alternating weeks, location-based availability, and service-specific time blocks.

This means a provider who works Mondays at one location and Wednesdays at another can have both schedules reflected accurately in the booking flow — without manual workarounds. Patients only see time slots that match the provider's actual availability for the service they're booking.

Multi-Conditional Membership Booking Rules

Membership programs just got a lot more flexible. You can now set granular booking conditions for each membership tier, including minimum and maximum advance booking windows, service-specific access restrictions, and tier-based scheduling priority.

For example, your premium tier members might be able to book up to 90 days in advance with access to all services, while your standard tier gets a 30-day window and a defined service set. These rules are enforced automatically at the booking step — no staff intervention needed.

If you're running a membership-based practice, this removes the friction of manually policing booking privileges and ensures your highest-value members get the access they're paying for.

Waitlist Support

Patients can now join a waitlist when their preferred time slots are full. When a cancellation opens up a slot, waitlisted patients are automatically notified in the order they signed up. The first to confirm gets the appointment.

This is a significant revenue recovery feature. Cancellations and no-shows leave money on the table — waitlists help you fill those gaps without your front desk making phone calls. It also improves the patient experience: instead of being told "nothing's available," patients have a clear path to getting seen sooner.

Session Editing

Booked sessions can now be edited after creation. Change the assigned provider, adjust the date and time, or reschedule entirely — all from the session detail view. Every change automatically triggers notifications to both the provider and the patient, so nobody is left out of the loop.

Previously, modifying a booking required canceling and rebooking. That created unnecessary patient-facing notifications and broke the continuity of the session record. Now you can make adjustments cleanly, and the session history stays intact.

HIPAA-Compliant Removal Workflows

Removing a client or staff member from your practice now follows a structured workflow designed around HIPAA data retention requirements. When you initiate a removal, the system walks you through configurable retention periods, ensuring protected health information is handled correctly before active records are cleaned up.

This replaces the previous "delete and hope for the best" approach. You'll see exactly what data is being retained, for how long, and what's being permanently removed. For practices that need to comply with state-specific retention laws (which vary from 5 to 10+ years), the retention period is fully adjustable.

Compliance shouldn't require a spreadsheet and a prayer. These workflows make it a built-in part of your practice operations.
